Data backup for campsites, holiday parks and recreation companies
Mindtime backs up the reception PCs, office laptops, on-site servers and NAS, and the Microsoft 365 or Google Workspace your park runs on, keeping immutable and air-gapped copies in its own data centres in the Netherlands and Germany.

In short
Campsites and holiday parks need off-site backups because the nachtregister, bookings and seasonal pitch contracts must stay available, often while the office runs on a small team and a single reception PC. Mindtime keeps immutable, checked copies of servers, laptops, NAS and mailboxes in its own Dutch and German data centres, with support in Dutch, German and English.
What's at stake
The data campsites and recreation companies can't afford to lose
Bookings and pitch allocation
The planning board shows who has which pitch, chalet or mobile home, and when. Lose it at the start of the summer holidays and reception is guessing.
Seasonal and annual pitch contracts
Annual pitch holders have contracts, invoices and payment histories that run for years. These are tax records and the basis of the relationship with your most loyal guests.
The nachtregister
Recreation parks are explicitly covered by the duty to register overnight stays. The register has to be complete and available when the police check it.
Rules and obligations
What the rules ask of campsites and recreation companies
Summarised from the sources listed at the bottom of this page. This is general information, not legal advice.
A night register, including on recreation parks
Article 438 of the Dutch Criminal Code obliges providers of overnight stays to keep a night register, and the CCV points out this applies to recreation parks. The police can check compliance. Accompanying spouses, minor children and travel groups are not each registered separately. [1]
What goes in the register
Sector association HISWA-RECRON lists the details to record for each main guest: name, home address, date of arrival and date of departure. [2]
Seven years, ten for property records
The Belastingdienst requires basic records to be kept for seven years and records about immovable property for ten. For a park that owns its grounds, chalets or buildings, part of the administration can fall under the longer period. [3]
Report breaches of guest data within 72 hours
Booking systems hold guest names, addresses, contact details and payment information. A breach that exposes or locks that data must be reported to the Autoriteit Persoonsgegevens within 72 hours. [4]
NIS2: recreation is not a listed sector
Campsites and holiday parks are not among the sectors listed for NIS2, which the Cyberbeveiligingswet implements in the Netherlands since 15 August 2026. In practice the law will rarely apply to a recreation business; the GDPR and tax duties do. [5]
When it goes wrong
The reception PC on the first busy weekend
Illustrative example: on the first warm weekend of spring, the reception PC of a family campsite stops booting, and the local planning database turns out to have lived only on its disk. Arrivals queue while staff search confirmation emails to see who booked which pitch. With an off-site backup, the PC's data and the planning database are restored onto a replacement machine from the last checked backup, and the nachtregister is complete again. Seasonal contracts in the office's shared folder come back the same way.
How Mindtime protects it
Backup for campsites and recreation companies, workload by workload
- Laptop and endpoint backupReception PCs and office laptops are often the only place where local exports and documents live.
- Microsoft 365 backupThe reservations mailbox and contracts in OneDrive or SharePoint get a separate copy outside Microsoft's environment.
- Google Workspace backupParks running on Gmail and Drive get the same independent backup, with a 7-day free trial.
- NAS backupA NAS in the office building is one fire or flood away from losing everything; an off-site copy fixes that.
- Disaster RecoveryLarger parks with their own servers can keep reception and booking running on standby infrastructure if the server room fails.
The software you use, and what we protect around it
| Camping.care | Camping.care is a cloud platform for campsites and outdoor hospitality. Check the supplier's export and retention terms; Mindtime protects the reception laptops, office files and mailboxes around it. |
|---|---|
| Recranet Booking | Recranet is cloud reservation software with a planning board and channel manager for campsites and holiday parks. Export guest and booking lists regularly to a backed-up location such as SharePoint or a NAS. |
| Booking.com, Airbnb and channel managers | Bookings from these channels sit in their platforms. The confirmation emails in your reservations mailbox are a second record, and Mindtime backs up that mailbox. |
| Office files on a NAS or shared drive | Seasonal contracts, maintenance plans, park maps and photos are often on a Synology or QNAP NAS in the office. Mindtime copies that NAS off-site. |
Before you switch
What campsites and recreation companies ask us first
We are only busy half the year.
Your records do not take a season off: the tax rules ask for seven years, and next year's bookings and seasonal contracts are made in winter. Backups run all year, every job is checked, and you do not have to think about it until you need a restore.
Our booking software is online. Isn't that enough?
It covers the bookings inside that system, on the supplier's terms, so check how exports and retention work. Your contracts, invoices, photos, mailbox and reception PC are outside it. Those are what Mindtime protects, in its own data centres in the Netherlands and Germany.
Who do we call when something goes wrong?
A person. Mindtime's support speaks Dutch, German and English, with no offshore call centre and no chatbot. And because every backup job is checked and monitored around the clock, a failed backup is usually spotted before you notice anything at reception.
FAQ
Questions about backup for campsites and recreation companies
What should a campsite back up first?
Begin with the things that stop reception: the booking or planning system's exports, the nachtregister, the reservations mailbox and the reception PC. Next come seasonal pitch contracts, invoices and the financial administration, which the Belastingdienst expects you to keep for seven years. Finally add photos, maps and maintenance files on a NAS or shared drive.
Our booking system was hacked. Do we have to tell anyone?
If guests' personal data was exposed, changed or made unavailable, it counts as a data breach, and the Autoriteit Persoonsgegevens expects a report within 72 hours of discovery. Restoring from a clean backup limits the damage and shows which data was affected. Mindtime scans backups for malware before you restore, so you do not bring the problem back.
Do campsites fall under NIS2?
Almost never. Recreation and tourism are not NIS2 sectors, so the Dutch Cyberbeveiligingswet, in force since 15 August 2026, does not normally apply to a campsite or holiday park. Your duties under the GDPR, the tax rules and the nachtregister remain, and each of them depends on records you can actually produce.
Can we manage several parks from one account?
Yes. The reception PCs, laptops and NAS units of each park can be added to the same account, next to one Microsoft 365 or Google Workspace tenant for all locations. If an IT partner looks after your parks, they can run Mindtime for you in a multi-tenant console with pay-as-you-grow billing.
Can we try it before the season starts?
Yes. Microsoft 365 and Google Workspace backup come with a 7-day free trial, and a free 15-minute demo shows how laptops, servers and NAS units are added. Winter is a good moment: fewer guests, time to test a restore, and your records protected before the first arrivals.
