Microsoft 365 backup is an independent copy of your mailboxes, sites, files and Teams data, kept outside Microsoft. Microsoft keeps the service running; getting back deleted, encrypted or overwritten data is up to you. Mindtime backs it up automatically to immutable storage in the Netherlands and Germany.

The recycle bin is not a backup

Microsoft 365 follows a shared responsibility model. Native retention helps with small mistakes, not with ransomware, leavers or misconfiguration.

Common questions

Does Microsoft 365 already back up my data?

Not in the way most organisations mean backup. Microsoft 365 is built for availability, with recycle bins, version history and retention features. Those are not an independent backup you can restore from after deletion, malicious activity, misconfiguration or a tenant-level incident.

What is the standard retention in Microsoft 365?

It depends on the workload and its configuration. Exchange Online often keeps deleted items for 14 days by default, configurable up to 30. SharePoint Online keeps deleted items in the recycle bin for up to 93 days.

Why use Mindtime instead of Microsoft's own backup options?

Independence. A separate copy means recovery doesn't depend on the environment where the incident happened, retention follows your own policy, and the data stays in the Netherlands and Germany under EU law.

What counts as a user?

A user is one Microsoft 365 account you choose to protect. Someone who uses Exchange, SharePoint and OneDrive is usually counted once. Shared mailboxes and service accounts depend on how your tenant is set up.

How many users should I back up?

All users who create or handle business-critical data. The one account you didn't protect is often the one you need during a recovery or a compliance request.
