In short
Landscaping and grounds maintenance companies need backup because garden designs, maintenance contracts, KLIC information and payroll records are spread over laptops, phones and cloud accounts. Mindtime backs up Microsoft 365, Google Workspace, laptops and NAS units, stores immutable copies in the Netherlands and Germany and monitors every job around the clock.
What's at stake
The data landscaping and grounds maintenance companies can't afford to lose
Garden designs and planting plans
Design drawings, plant lists and quotes represent hours of work that a customer has approved. A lost design means redrawing it from photos and memory.
Maintenance contracts and work logs
Multi-year maintenance contracts, work logs and site photos show what was done where and when. When a client questions an invoice, that record is your answer.
Cable and pipe information
The KLIC delivery for each digging job has to be available on site while the crew works. If the folder is gone, the machine waits.
Rules and obligations
What the rules ask of landscaping and grounds maintenance companies
Summarised from the sources listed at the bottom of this page. This is general information, not legal advice.
KLIC notification before machine digging
Anyone who digs with a machine, or has it done, must file a KLIC notification with the Kadaster no earlier than 20 and no later than 3 working days before the work. The cable and pipe information must be available digitally at the digging location. [1]
Tracking vans counts as monitoring staff
A GPS tracker or black box in a company vehicle falls under the AP's rules for monitoring employees. You need a legitimate interest that outweighs employees' privacy, must inform staff, need works council consent if you have one, and a DPIA for systematic monitoring. [3]
Seven years for the administration
The ledger, debtors, creditors, purchase and sales records and payroll fall under the Belastingdienst's seven-year retention period, which only starts once the data is no longer in current use. [4]
No chemical weed control outside agriculture
Businesses outside the agriculture and horticulture sector may no longer use plant protection products, apart from a few exceptions in the Regeling gewasbeschermingsmiddelen en biociden. The government points to alternatives such as burning, hot air and hot water. [5]
When it goes wrong
A laptop left in the van
Illustrative example: a grounds maintenance company's office laptop holds the designs, quotes and KLIC folders for the coming weeks. The laptop is stolen from a van parked at a job. The owner restores the files from Mindtime's endpoint backup onto a new laptop, and the crews keep their schedule because the KLIC information is back where they can open it on site.
How Mindtime protects it
Backup for landscaping and grounds maintenance companies, workload by workload
- Microsoft 365 backupQuotes, contracts and planning in Outlook, OneDrive and Teams need a copy outside Microsoft's own retention.
- Google Workspace backupFirms that run on Gmail and Google Drive share designs and KLIC files with crews from there.
- Laptop and endpoint backupLaptops and phones travel in vans and get lost, stolen or dropped on site.
- NAS backupAn office NAS with design archives and photos needs a copy outside the building.
The software you use, and what we protect around it
| Exact Online | Many landscapers handle quotes and invoices in Exact Online, which keeps that data under Exact's own terms. Mindtime backs up the laptops and the Microsoft 365 or Google Workspace mail where those documents also land. |
|---|---|
| Webfleet | Cloud fleet management for vans and equipment. Check Webfleet's export and retention terms; Mindtime protects the office files and mailboxes where trip reports and hour summaries are saved. |
| KLIC deliveries (Kadaster) | Downloaded per digging job and often shared through OneDrive, Google Drive or a NAS. Mindtime backs up all three. |
| AutoCAD (Autodesk) | Garden designs drawn in CAD software are ordinary files. Mindtime backs up the laptop, server or NAS that stores them. |
Before you switch
What landscaping and grounds maintenance companies ask us first
We're out in the field. Our data is on our phones.
Phones break and get lost. Mindtime backs up mobile devices and laptops, plus the Microsoft 365 or Google Workspace accounts they sync to, so photos and plans are not tied to one device.
Seasonal staff come and go. Is this complicated to run?
No. Mindtime runs the backups, checks every job and keeps an eye on them 24/7, so there is nothing for your office to babysit.
Is a backup worth it for a company our size?
Think about what it would take to redraw a season's designs. Book the free 15-minute demo, show us what you have, and decide with a clear picture. Mindtime has protected business data since 1998.
FAQ
Questions about backup for landscaping and grounds maintenance companies
What landscaping data should we back up first?
Start with what you cannot recreate: designs and planting plans, signed quotes and contracts, KLIC deliveries for running jobs, and payroll and HR records. Then add the shared folders and mailboxes your planners work from. Mindtime covers laptops, phones, NAS units and Microsoft 365 or Google Workspace, so these usually fit into one setup.
Does NIS2 apply to landscaping companies?
Landscaping and grounds maintenance are not among the sectors listed in the Cyberbeveiligingswet, the Dutch NIS2 law in force since 15 August 2026. Public authorities you work for can be in scope themselves and may ask their suppliers about security, so it helps to be able to show how your data is backed up.
Where is our data stored?
Only in Mindtime's own Tier III data centres in the Netherlands and Germany, with an air-gapped copy kept separately. Mindtime is ISO 27001 and NEN 7510 audited, and a data processing agreement comes with every contract, which helps when a municipality or housing association asks.
