Delivery and relay orders
Each order carries a recipient, an address, a card message and a delivery date. Orders you pass on or receive through a network such as Fleurop need the same record on your side.
Wedding and funeral work
Bridal and funeral arrangements are agreed weeks ahead, often by email with photos and sketches. Losing them means missing a date that cannot be moved.
Business customers and standing orders
Weekly office flowers and subscriptions are recurring revenue. The customer list, prices and delivery schedule are the business itself.

What the rules ask of florists

Seven years of basic records
Florists, like every business, must keep their basic administration for seven years, the Belastingdienst says, and the period starts when the data stops being current. [1]
Till data: detailed, unaltered and off-site
If you use a till system, the Belastingdienst's guidance expects every transaction to be kept in detail with timestamp and user, with corrections made by reversal rather than deletion. It also says the data must be stored off-site because of possible calamities. [2]
Online orders and the cooling-off period
Consumers buying online normally have a 14-day cooling-off period, but the law makes an exception for products that spoil quickly. When a customer disputes an order, your own complete record of what was ordered and agreed is what counts. [3]
Recipient data is personal data
Delivery orders include names and addresses of people who never dealt with you directly. If that data is exposed or lost in a breach, the Autoriteit Persoonsgegevens expects a report within 72 hours. [4]
NIS2: florists are out of scope
Floristry is not one of the sectors under NIS2, which the Dutch Cyberbeveiligingswet implements since 15 August 2026, and micro and small businesses outside the listed sectors are in principle not covered. [5]
When it goes wrong
Ransomware in the busiest week
Illustrative example: the week before Mother's Day, a florist opens an email attachment posing as a supplier invoice, and the shop PC is encrypted. The order list for the busiest week of the year is on that PC and in the shop mailbox. Because both were backed up to immutable storage, the florist restores the order list to a clean laptop and works through the deliveries from there while the PC is wiped and reinstalled. Customers whose details were on the PC are part of the breach assessment afterwards.

Everything is on my phone anyway.
That is one device that can fall, get stolen or stop working on the busiest morning of the year. Mindtime's endpoint backup includes mobile devices as well as laptops, so photos and notes have a copy in the Netherlands or Germany.

FAQ
Questions about backup for florists
What should a flower shop back up?
The till and its back office, the shop mailbox, the order list for deliveries and events, invoices from wholesalers, and the photos you use for your portfolio and webshop. Add the laptop used on the road and any NAS in the shop. Cloud platforms such as webshops and order networks keep their own data; export what you need from them regularly.
Does till data really have to be stored off-site?
The Belastingdienst's guidance on reliable till systems says so: because of possible calamities, till data must be kept off-site, complete and readable for seven years. A copy in the back room does not meet that. Mindtime stores it in its own data centres in the Netherlands and Germany, with an immutable copy and an air-gapped copy.
What if the delivery laptop is stolen?
With Mindtime, the files on it are restored to a replacement laptop from the last backup. Because recipients' names and addresses may have been on it, check whether the loss must be reported to the Autoriteit Persoonsgegevens within 72 hours. Admin actions in Mindtime require MFA, so a stolen laptop cannot be used to delete your backups.
Is NIS2 something florists need to worry about?
No. Florists are not in a NIS2 sector, so the Dutch Cyberbeveiligingswet will not apply to your shop. A business customer, such as a funeral home or a hotel, may still ask how you protect their data. Being able to say that your backups are immutable and stored in the Netherlands and Germany is a clear answer.
