A HACCP-based plan, with records
Every business that produces, processes or sells food must work with a food safety plan based on HACCP, or with an approved hygiene code from its trade association. HACCP's seventh principle asks you to record how you comply, including the results of your checks, and the NVWA inspects whether you follow the plan. [1]
The bakery hygiene code
The NVWA lists the 'Hygiënecode voor de brood- en banketbakkerij' among the approved codes for craft businesses, so a bakery can work with that code instead of writing its own food safety plan. [2]
Allergen information in writing
For unpackaged food, you must inform customers about 14 allergens. Even if you tell customers verbally, the information must be available in writing or electronically for staff and NVWA inspectors. [3]
NIS2: wholesale and industrial producers only
NIS2 Annex II covers food businesses engaged in wholesale distribution and industrial production and processing; retail and food service are excluded. In the Netherlands the Cyberbeveiligingswet, in force since 15 August 2026, applies to such producers from medium size (50 employees, or turnover and balance sheet above €10 million), with the NVWA as supervisor. Seven years for till and order data
The Belastingdienst's till guidance asks for transaction data to be kept for seven years in full detail and stored off-site because of possible calamities. Order and invoice data are part of the same seven-year administration. [8]
When it goes wrong
No production list at three in the morning
Illustrative example: at three in the morning, a craft bakery with two shops and a handful of wholesale customers finds that the PC running its order and production software will not start. Nobody can print the production list or the delivery notes. Because the bakery uses Mindtime Disaster Recovery, the team switches to the standby copy and prints the lists from there while the hardware is repaired. A bakery without standby infrastructure restores the backup to new hardware instead, which takes longer but brings back the orders, recipes and HACCP files intact.

Do our recipes leave the country?
They stay in the Netherlands or Germany, in Mindtime's own Tier III data centres. Transfers are encrypted with AES-256, admin actions need MFA, and a data processing agreement is part of every contract.
FAQ
Questions about backup for bakers and artisanal food companies
Which records will the NVWA want to see?
Your HACCP-based food safety plan, or the hygiene code you follow, and records showing that you apply it, such as the results of your checks. For unpackaged products, allergen information must be available in writing or electronically. If those records are digital, a backup makes sure an inspection never coincides with a dead laptop.
Does NIS2 apply to my bakery?
A craft bakery selling in its own shops is retail, which NIS2 excludes from the food sector. A bakery that produces industrially or supplies wholesale can fall under the Cyberbeveiligingswet once it reaches medium size: 50 employees, or turnover and balance sheet above €10 million. Use the NVWA's guidance to check, and register via the NCSC if you are in scope.
How do we protect recipes against accidental deletion?
Keep recipes in a shared location, such as SharePoint, OneDrive or a server, rather than on one person's desktop, and back that location up. Mindtime's backups are immutable for their retention period, so a deleted or overwritten recipe can be restored from an earlier version. Admin actions require MFA, which stops anyone from quietly removing backups.
What is the difference between backup and disaster recovery for a bakery?
A backup gives you your data back after a failure, onto repaired or new hardware. Disaster recovery adds standby infrastructure, so your order and production systems can run elsewhere while the original is fixed. Mindtime's first test failover typically takes place within 10 days of starting, followed by quarterly DR tests.
