    BIG-registered dental hygienists can take X-rays, give anaesthesia and fill cavities. Those images and treatment notes belong in the patient record like any other clinical data.

    Patients are recalled at set intervals and referred back and forth with their dentist. Losing the recall list quietly drops patients out of care.

What the rules ask of dental hygienists

  1. You are a registered care provider

    KVK guidance for starting dental hygienists says you must report as a care provider (Wtza) three months before you start, and that the WGBO and the Wkkgz apply to your practice. [1]

  2. Twenty years of patient records

    A care provider keeps every patient's medical file for 20 years from the most recent change, and must be able to show how that data is secured. [2]

  3. NEN 7510 also applies to small practices

    The Wabvpz requires care providers to organise information security according to NEN 7510. There is no exception for one-person practices; the IGJ supervises. [3]

  4. Outside the Cyberbeveiligingswet

    The Cyberbeveiligingswet covers healthcare providers from 50 FTE, or above the EU ceilings for both turnover and balance sheet. An independent dental hygiene practice is almost always below that, so NIS2 duties normally do not apply. [4]

When it goes wrong

A stolen laptop between two locations

Illustrative example: a dental hygienist who works from two locations has her laptop stolen from her car. Her practice software runs online, but exported X-rays, referral letters and the recall spreadsheet were only on the laptop. Because Mindtime backed up the device, she restores those files to a new laptop and continues with the next day's patients. She still assesses whether the theft has to be reported as a data breach.

  • My patient software is online, so isn't my data already safe?

    The supplier protects its own platform under its own terms. Your mail, exported X-rays, recall lists and laptop sit outside it. Mindtime protects those in its own data centres in the Netherlands and Germany.

FAQ

Questions about backup for dental hygienists

Do record-keeping rules apply to dental hygienists or only to dentists?

They apply to you. As an independent dental hygienist you report as a care provider, and the WGBO governs your treatment relationship with the patient. That includes keeping the patient file for 20 years from the last change and securing it according to NEN 7510.

Does Mindtime sign a data processing agreement?

Yes. Every Mindtime contract includes a data processing agreement. It records that your backups are stored only in Mindtime's own Tier III data centres in the Netherlands and Germany, which are audited against ISO 27001 and NEN 7510. You can add it to the processing register your practice keeps.

What does an immutable backup mean for my practice?

It means that once a backup is written, it cannot be changed or deleted for a set period, not by ransomware and not by an attacker with your password. Mindtime uses Object Lock for this and keeps an additional air-gapped copy, following the 3-2-1-1-0 rule.

Can I back up a practice that runs on Google Workspace?

Yes. Mindtime backs up Gmail, Google Drive and shared drives as well as Microsoft 365. Both can be tested with a 7-day free trial on your own account, and the backups are kept in Mindtime's own data centres in the Netherlands and Germany. Mail, Drive files and shared drives are covered by the same backup.
